Escalation Rules

Set up auto-escalation based on record status and number of days.

Escalation rules automatically take action when a compliance record stays in a non-compliant status for too long. They help ensure that overdue records do not slip through the cracks.

Create an Escalation Rule

  1. Navigate to Settings > Escalation Rules.
  2. Click Add Rule.
  3. Configure the trigger:
    • Trigger status — The record status that starts the clock (e.g., Non-Compliant, Awaiting COI, Expired).
    • Days in status — How many days a record must remain in the trigger status before the rule fires (e.g., 7, 14, 30).
  4. Configure the action(s):
    • Send email to vendor — Automatically email the vendor requesting an updated certificate.
    • Send email to record assignee — Notify the auditor or manager assigned to the record.
    • Send email to Admins — Alert all organization Admins.
    • Change status — Automatically move the record to a different status (e.g., escalate from Non-Compliant to Expired).
  5. Click Save Rule.

How Escalation Works

Inori evaluates escalation rules once per day. When a record matches a rule's trigger status and has been in that status for the specified number of days, the configured actions execute automatically.

Each rule fires only once per record per status transition. If the record's status changes and then reverts, the rule can fire again.

Example Rules

Trigger StatusDaysAction
Non-Compliant7Email vendor + email assignee
Non-Compliant14Email Admins
Awaiting COI30Change status to Expired
Expired7Email vendor with final notice

Rule Priority

If multiple rules match the same record, all matching rules execute. Order them by ascending day count to create a natural escalation sequence.

Edit or Delete Rules

From the Escalation Rules list, click any rule to edit its trigger or actions. Use the three-dot menu to delete a rule. Deleting a rule does not undo actions it has already taken.
