Portal Invitations
Send magic link invitations so vendors can upload their own certificates via the Vendor Portal.
The Vendor Portal allows vendors to upload their own certificates of insurance without needing an Inori account. Access is granted through magic link invitations.
Sending an Invitation
- Open the compliance record for the vendor.
- Click Send Portal Invitation (or the envelope icon in the actions menu).
- Inori sends an email to the vendor's contact address with a secure magic link.
The email includes:
- Your organization name and the project name.
- The insurance requirements the vendor must satisfy.
- A magic link that grants access to the portal for 30 days.
What Vendors See
When a vendor clicks the magic link, they land on a branded portal page showing:
- Requirements checklist — Each insurance coverage type and limit required.
- Upload area — Where they drag and drop or select their COI file.
- Status — Whether their current certificate is compliant, non-compliant, or under review.
Vendors do not need to create an account or remember a password. The magic link is their access credential.
Link Expiration
Magic links expire after 30 days. If a vendor needs renewed access, resend the invitation from the record detail page. Each new link invalidates the previous one.
Bulk Invitations
To send portal invitations to multiple vendors at once:
- Go to the Records page and filter by Awaiting COI or Non-Compliant.
- Select the records using checkboxes.
- Click Send Invitations in the bulk action toolbar.
- Confirm the batch send.
Tracking Invitation Status
On the record detail page, the Portal section shows:
- Invitation sent — Date and time the last invitation was sent.
- Link status — Active or expired.
- Portal visits — Number of times the vendor accessed the portal.
- Last activity — When the vendor last viewed or uploaded from the portal.
