Self-Service COI Upload

How vendors upload their own certificates through the Vendor Portal.

Once a vendor accesses the portal via their magic link, they can upload certificates of insurance directly. This page describes the vendor's experience.

The Upload Process

  1. The vendor clicks their magic link from the invitation email.
  2. They land on a portal page showing:
    • Your organization name and project name.
    • The certificate holder information that should appear on their COI.
    • A list of required coverages with minimum limits.
  3. The vendor drags and drops their certificate file (or clicks to browse). Accepted formats: PDF, PNG, JPG, and TIFF.
  4. Inori uploads the file and immediately begins AI analysis.
  5. Within seconds, the vendor sees the result:
    • Compliant — All requirements met. A green confirmation appears.
    • Non-Compliant — The portal shows which specific requirements were not met, so the vendor knows exactly what to fix.

File Requirements

  • Maximum file size: 25 MB per certificate.
  • Recommended format: PDF for best AI extraction accuracy.
  • One certificate per upload — If a vendor has multiple policies, they upload each certificate separately.

After Upload

Once the vendor uploads a certificate:

  • The record status in Inori updates automatically based on AI analysis.
  • The audit trail logs the upload with the vendor's email and timestamp.
  • If the record becomes compliant, no further action is needed from the vendor.
  • If non-compliant, the vendor can upload a corrected certificate at any time while their link is active.

Vendor Notifications

Vendors receive an email confirmation after each upload, including the compliance result. If their certificate was non-compliant, the email includes a link back to the portal to upload a corrected version.

Troubleshooting

IssueSolution
"Link expired" messageAsk the record owner to resend the portal invitation.
Upload failsCheck that the file is under 25 MB and in a supported format.
Wrong requirements shownThe record owner should verify the project's insurance requirements in Inori.
Analysis shows unexpected resultsThe vendor should ensure the certificate lists the correct certificate holder name and address.
