Certificate Request

A formal request to a vendor or their insurance broker to provide a certificate of insurance demonstrating that required coverage is in place.

A certificate request is the initial step in the insurance verification process. It is a communication sent to a vendor, their broker, or their insurer requesting proof of insurance coverage that meets specified requirements. Effective certificate requests clearly state the required coverage lines, minimum limits, endorsements, and named parties such as certificate holder and additional insured. Requests may be triggered during vendor onboarding, at policy renewal, after contract changes, or when deficiencies are identified. In compliance platforms, certificate requests are automated and templated to ensure consistency. The platform generates requests pre-populated with the vendor's specific requirements and tracks request status through delivery, reminder, escalation, and resolution stages. Self-service vendor portals allow vendors to upload certificates directly in response to requests, eliminating email-based workflows. Tracking certificate request response times and completion rates provides valuable metrics for evaluating vendor responsiveness and overall compliance program effectiveness.
